Purpose of Form
The purpose of this form is to verify the deletion of all files on the hard disk drive of any System Offices owned computer being transferred to A&M Surplus (Surplus) or an entity outside of the A&M System.

Submission of Form
This form must be completed and attached to the Property Transfer Form (SC-906) if a computer is being transferred from a SAGO department to Surplus or an entity outside of the A&M System.  Submit the two forms together to the System Offices Business Office Property Manager.

Completing the Form
The individual who cleared the hard drive should fill out and sign this form.  Included on the form should be the name of the department who has the computer on inventory (or did until it was cannibalized, if applicable), the department phone number, the computer’s asset number, and the status of the hard drive.  (If the computer has been cannibalized, please mark its asset number pre-cannibalization since post-cannibalization the asset is non-inventory.)

How to Erase Computer Hard Drives
This procedure only requires a few simple steps:

  1. Exit to the DOS prompt (F8 to get the prompt).  You will see: C:\
  2. Next Type: FORMAT C:
  3. The computer will ask if this is what you want to do, because all the information will be lost.  Place a “Y” for yes in the space provided and hit enter.  This will format the drive.

If help in clearing a hard drive is needed, System Offices microcomputer and network support personnel can provide assistance.

Also, if the computer contained sensitive information, you should consider using a more complete erasing program such as WIPEINFO, which can be done by the System Offices microcomputer and network support personnel.

Responsibility of the APO or Alternate APO
Whenever computer equipment listed on a Property Transfer Form (SC-906) is being transferred to either Surplus or an entity outside of the A&M System, the APO or Alternate (Alt APO) is responsible for making sure that the computer hard disk drive has been wiped.  Also, the Transfer of Computer Equipment Form must be accurately filled out and submitted along with the Property Transfer Form to the System Offices Business Office Property Manager.

Although the form is not required to be submitted to the System Offices Business Office Property Manager for all types of transfers, it is recommended that the hard disk drive be wiped whenever you transfer a computer out of your department to assure that neither licensed nor confidential information is turned over to unauthorized persons.
